A DOUBLE CHALLENCE
Team Intro is a big regional recruitment agency in the metropolitan area in the south of Holland. The client wanted a recruitment website that would work as a magnet in finding different types of temporary workers. Finding good people on market is not easy. Especially not if you are looking for tens of traffic controllers and barkeepers and just as much ground workers and tramway employees. A good concept was what they needed.

For years Team Intro tried different approaches in automating the recruitment process. At first they tried using their payrolling software to streamline the job application process. But not to their satisfaction. Salesforce was implemented but this tool had to many options, recruiters lost their way and the license fees were high. A well thought custom Applicant Tracking System (ATS) in Drupal seemed the perfect solution.

Together with the client, we came up with the idea to tackle the website and ATS as one project. For the website the concept was aimed at 'fun work' and not so much on the various types of vacancies. To come up with the perfect recruitment & selection tool, we talked to the recruitment team that would be working with the ATS. After defining the ultimate and minimum product backlog we got to work.

Case goals and results

RESULTS
June 2022 both website and ATS went live, including:

• An attractive recruitment website for job seekers, employers, and information about the coworking space. You will find many visuals and edgy text.
• Database with vacancies that is managed from the ATS and where the vacancies are made public via the website.
• The ATS in which applications and candidates find their way from the website, are tracked, managed and archived. Applications and candidates have different statuses. This part of the process is specifically tailor made for Team Intro’s way of working.
• Possibilities for internal communication between the recruiters via the ATS.
• Variety of email templates to simplify and streamline communication with candidates.
• An 'onboarding part' in which hired candidates are prepared within the system to transfer to the payroll system.

YES AND NOW WHAT?
Since June the recruitment team has been working with the custom ATS. The numbers of applicants coming in via the website are going well and the team is very happy with the clear and pleasant handling. Team happy, applicants happy too.

Challenges

The biggest challenge was getting everybody to agree on the functionalities: how do you create an application together with recruiters that fits seamlessly into their way of working? How do you translate requirements and wishes surrounding a recruitment process into software requirements that the team can and wants to work with?

By working and deciding together. Collaborating in team sessions and spending many hours on the client's work floor, made sure we would achieve a good result in building al website and tool. On top of that, following this approach we built an exceptional pleasant customer-supplier relationship.

Technically the data transfer between the website and ATS was the biggest challenge. Vacancies had to go from the ATS to the website and applications from the website to the ATS. A well-thought-out REST API brought the solution. We developed an API that ensured a seamless and secure communication between the two systems. After all, we don't want personal data to end up on the street. GDPR proof.

Community contributions

Ehhhhh. For this project no custom addons were needed. Everything needed was already developed by the community. Our only contribution is gratitude.
